 Office Assistant

Reports to:                         Executive Director

Employment Status:       Part-time (non-exempt)

Hours:                                  25 hrs/week

PRIMARY ROLE

The Office Assistant is a support position with a primary financial focus but who also performs duties as needed relating to other facets of the Administrative Office.

The Office Assistant is a support position who performs duties as needed relating to all facets of the Administrative Office.

Key Areas of Responsibility

Financial:

·         Manage accounts payable.

·         Take deposits to bank.

·         Prepare donor acknowledgement letters and other correspondence as needed.

·         Collect documents and information from new vendors (W-9s, Certificates of Insurance, Licenses/Certifications).

·         Other accounting support as needed.

Administrative:

·         Maintain main office calendar with various deadlines, especially tracking insurance and contract renewals.

·         Assist with mailings, including but not limited to solicitations, grants and outreach.

·         Manage office supply needs.

·         Schedule service calls (IT, repairs, maintenance, etc.)

Database Management:

·         Help maintain a clean donor database by updating information and ensuring entry of accurate information.

·         Input donor information and donations.

·         Run data reports as needed.

 Events:

·         Assist with administrative preparation tasks as needed to include tracking attendance.

·         Attend and assist with tasks on event day.

Skills and Characteristics:

·         Understanding and appreciation for HFHWC’s mission and core values.

·        Strong computer skills required, including working knowledge of Microsoft Office Suite applications and proficiency in Excel.

·        Detail-oriented with ability to plan and multi-task. 

·         Strong interpersonal skills dealing with a variety of people, personalities and backgrounds. Treats partner families with respect.

·         Bookkeeping or financial management experience preferred.

·        Database management experience preferred.

 Education:

·         High School Diploma
